ARA Sponsor + Exhibitor Information

Please read the following below for all of the most up-to-date information in relation to the Sponsors and Exhibitors entitlements, reminders and helpful hints.

ORAL PRESENTERS

You are urged to strictly adhere to the time that you have been allocated for your presentation. 

Presentation Time: 12 minutes plus 3 minutes presentation time. Strictly 15 minutes. 

Speaker Support Room

The Speaker Support Room will be available during the following hours:

  • Saturday 3 May 2025 - TBC

  • Sunday 4 May 2025 - TBC

  • Monday 5 May 2025 - TBC

  • Tuesday 6 May 2025 - TBC

All speakers must report to the Speaker Support Room where technicians will be available to assist presenters to load their files.

For speakers presenting at the morning sessions, it is advisable to load in the afternoon prior to the session.  If this is not possible, then do so before sessions commence on the day of presentation. Speakers presenting in the afternoon sessions must check in during the lunch break, or earlier if possible, on the day of their presentation.  Early check-in ensures that the presentation runs smoothly.

POSTER PRESENTERS

The posters will be located in the Exhibition Hall at the Adelaide Convention Centre.  They will be on display for the duration of the meeting and can be put up from the start of the Welcome Reception on Saturday 3rd May from 6 pm, but must be removed by the end of Lunch on Saturday.  

Please note that you or one of your fellow authors will be required to be present at your poster during the dedicated poster breaks and you will be notified of your specific timing shortly. 

Posters must fit a poster display space of no more than 1 metre wide x 1.2 metres high (A0 portrait style) including the heading.   Velcro tabs will be provided to fix your poster to the board – pins must not be used.  

Hints and tips

  • Poster presentations should be well thought out and visually appealing, with a balance of text, graphics and neutral space.

  • The movement (pathway) of the eye through the presentation should be natural (down columns and along rows).

  • The Title slide should have the same title as the submitted abstract and the program.

  • Include the name of the presenter(s) and each affiliation (institution or organisation) for each author.

  • Avoid using ALL-CAPITAL text as it is difficult to read.

  • The text should be brief throughout, i.e. any description of methods should be simple and concise. 

POSTER NUMBER

The full scientific program will be uploaded next year and please note your poster number for uploading i.e. Listed as P[Number] e.g  P21.   WE WILL NEED THIS TO IDENTIFY YOUR POSTER.  

Rules on Encore Papers


Please note encore papers can be submitted on the understanding that an Australian or New Zealand investigator will be registered to attend the meeting to present the abstract/poster.  Only the authors listed on the abstract will be allowed to present. The abstract will be withdrawn by the Programme Committee if this is not the case.  Encore papers will be considered as posters only. You will be asked to acknowledge this further on in the submission process.

Midnight Sunday XX 2025 - Closing date for Grand Round submissions

Mid-March/Early-April 2025 - Confirmation of acceptance of abstracts and grand rounds
